This Refund & Cancellation Policy explains how WPSoil (“we“, “us“, or “our“) handles refunds, cancellations, deposits, milestone payments, monthly care plans, and project pauses for services ordered through wpsoil.com, direct invoices, freelance platforms, or agreed project channels.
WPSoil provides professional WordPress services including Kadence website design, Gutenberg builds, Starter Site customization, website redesigns, WooCommerce setup, speed optimization, local SEO page structure, WordPress Care Plans, and white-label agency support. Because our work involves planning, design, development, configuration, strategy, time allocation, and digital service delivery, refunds are handled differently from physical product purchases.
Our goal is to be fair and transparent: you should know what happens if a project is cancelled, delayed, abandoned, disputed, or changed after approval. Please read this policy together with our Terms of Service.
1. Scope of This Policy
This policy applies to paid services provided by WPSoil, including but not limited to:
If you order through Fiverr, Upwork, or another marketplace, that platform’s payment, dispute, refund, and cancellation rules apply first. This policy applies only where it does not conflict with the marketplace’s own terms.
2. Quick Summary
✅ Before Work Starts
If you cancel before any work begins, we may issue a refund for amounts paid, excluding payment processing fees, platform fees, consultation time, reserved rush slots, or any agreed non-refundable setup/admin fee.
🛠️ After Work Begins
Once research, planning, design, development, setup, configuration, content work, revisions, or project management has started, completed work is non-refundable. Any refund is limited to unstarted and unused future work only.
📦 Delivered or Approved Work
Work that has been delivered, approved, published, migrated, handed over, or completed as part of an accepted milestone is not refundable.
🔁 Monthly Care Plans
Care Plans are month-to-month unless otherwise agreed. You can cancel future renewals, but active/current billing periods are not normally prorated once the month has started.
3. Deposits, Booking Fees, and Project Start Payments
Most WPSoil projects require an upfront payment, deposit, milestone, or platform order before work begins. This confirms the project, reserves time in our schedule, and allows us to start discovery, planning, design, development, setup, or technical review.
Once work has started, deposits and initial payments are generally non-refundable because time, planning, strategy, technical review, communication, and project setup have already been allocated to your project.
If a project is cancelled before any work begins, we may refund the upfront payment, minus any payment processing fees, platform fees, consultation time, rush booking fees, or administrative costs already incurred.
4. Fixed-Price Projects and Milestones
Many WPSoil projects are quoted as fixed-price packages or milestone-based projects. The fixed price applies to the agreed scope only. A project scope may include pages, sections, forms, features, plugins, integrations, revision rounds, launch support, and delivery timeline.
Completed milestones are non-refundable. If a milestone has been completed, delivered, approved, or made available for review, payment for that milestone is due and is not refundable.
If a project is cancelled before future milestones begin, you will not normally be charged for unstarted future milestones unless otherwise agreed in writing.
5. Revisions, Refinement Rounds, and Scope Changes
Website packages may include a defined number of revision or refinement rounds. A revision round is intended for reasonable adjustments inside the approved scope, such as copy edits, image swaps, spacing adjustments, section order changes, button text, form labels, color refinements, or small layout improvements.
Revision rounds do not include a complete redesign, a new page direction, new custom functionality, additional pages, new integrations, advanced SEO work, new copywriting scope, WooCommerce expansion, membership systems, booking systems, CRM automation, or changes that were not part of the original agreement.
If you request extra work outside the approved scope, we will confirm the additional cost and timeline before doing the work. Refusing an additional quote for out-of-scope work does not create a right to a refund for work already completed.
6. Client Cancellations
You may request to cancel a project by contacting us in writing at hello@wpsoil.com or through the platform where the project was ordered.
If you cancel before work starts: you may be eligible for a refund, minus processing fees, platform fees, and any agreed non-refundable booking or consultation fees.
If you cancel after work starts: completed work, planning, design, development, configuration, research, strategy, project management, and delivered assets are non-refundable.
If you cancel after delivery: delivered, approved, published, or handed-over work is not refundable.
If a refund is approved, the amount will be based on the portion of work not yet started, not on whether the project has produced business results after delivery.
7. Project Delays, Missing Content, and Abandoned Projects
Project timelines depend on timely access, content, feedback, approvals, hosting details, domain access, plugin licenses, images, brand assets, and required information from the client. Delivery timelines begin when the required materials and access are received, unless otherwise agreed in writing.
If we are waiting for your feedback, content, access, or approval for more than 14 days, the project may be paused and rescheduled around other active work. If the delay continues for more than 30 days without meaningful communication, the project may be treated as abandoned.
Abandoned projects are not eligible for refunds for completed work, reserved time, planning, development, or delivered materials. Restarting an abandoned project may require a new timeline, updated quote, or reactivation fee depending on the amount of time passed and the work required to resume.

9. Starter Site Blueprint Cancellations
Starter Sites are not generic downloadable templates. They are industry-specific website foundations that WPSoil customizes for your brand, pages, content, images, calls to action, forms, and business goals.
If you cancel before customization begins, you may be eligible for a refund subject to the conditions in this policy. Once customization, page building, brand setup, content placement, design adjustment, form setup, or staging work begins, the work completed is non-refundable.
10. WooCommerce and E-Commerce Projects
WooCommerce projects may involve product setup, payment gateway configuration, shipping/tax settings, checkout structure, third-party integrations, plugin settings, product imports, and performance configuration. These tasks require time and technical work even before the store is launched.
Completed WooCommerce setup, configuration, product work, payment integration, or checkout work is non-refundable once delivered or configured. WPSoil is not responsible for payment gateway approval, bank decisions, tax obligations, shipping carrier rules, product compliance, chargebacks from your customers, or third-party platform decisions.
11. WordPress Care Plan Cancellations
WPSoil Care Plans are monthly support services for updates, backups, uptime monitoring, security checks, support requests, performance checks, reporting, or included edit/development time depending on the plan.
Care Plans are billed monthly unless otherwise agreed. You may cancel future renewals by contacting us before the next billing date. Once a monthly billing period has started, that month is generally non-refundable because monitoring, access, support availability, and scheduled maintenance resources are already allocated.
Unused monthly edit or development time does not automatically roll over unless specifically agreed in writing. Care Plan cancellation does not include a refund for past months, partial months, unused included hours, or monitoring availability that was already provided.
Pre-existing malware, major rebuilds, custom features, complex plugin conflicts, broken third-party integrations, hosting outages, and work outside the Care Plan scope may require a separate quote.
12. Quality Concerns and Fix Requests
If you believe something was delivered incorrectly or does not match the approved scope, contact us as soon as possible with clear details. We will review the issue and, where appropriate, correct work that falls within the agreed scope.
Many WPSoil website builds include a post-launch fix period, such as 14 days of post-launch fixes. This support period covers reasonable fixes related to the delivered scope, not new features, new pages, new content, redesign requests, plugin conflicts caused by later changes, or third-party issues outside our control.
A request for corrections does not automatically create a right to a refund. We should be given a reasonable opportunity to review and resolve valid issues within the agreed scope.
13. No Refunds Based on Business Results
WPSoil builds websites with a focus on clarity, speed, trust, editing experience, and conversion flow. However, we do not guarantee specific revenue, rankings, traffic, leads, PageSpeed scores, conversion rates, sales, or search engine positions unless such guarantees are explicitly stated in a signed written agreement.
No refund will be issued simply because a website does not produce a desired business result after delivery. Business outcomes depend on many factors outside our control, including offer quality, pricing, competition, traffic, advertising, content, reviews, market demand, hosting, third-party tools, and client follow-through.
14. Cancellation by WPSoil
We may pause or cancel a project if there is non-payment, abusive communication, repeated scope changes without approval, lack of required access, illegal or unethical requests, security risks, violation of our Terms, or circumstances that make the project impossible or unreasonable to continue.
If WPSoil cancels a project for reasons not caused by the client, we may refund any amount paid for work that has not yet started. Work already completed, delivered, reserved, configured, or performed remains non-refundable.
15. Disputes and Chargebacks
If you have a concern about a payment, delivery, or project outcome, please contact us first so we can review the issue. Most concerns can be resolved through clear communication, revision review, scope clarification, or a written resolution.
Opening a chargeback or payment dispute without first contacting us may result in paused work, suspended support, loss of priority scheduling, termination of active services, and submission of project records, messages, approvals, deliverables, and payment history to the payment processor or platform.

Refund requests are reviewed case by case. If approved, refunds are normally processed back to the original payment method where possible. Processing times may vary depending on your bank, payment provider, card issuer, or freelance platform.

We may update this Refund & Cancellation Policy from time to time to reflect changes in our services, pricing, payment methods, project process, legal requirements, or business operations. When changes are made, we will update the “Last Updated” date at the top of this page.
